Registration, Tickets & Booking Process

Learn how Converia supports the booking process, custom form fields, group registrations, billing addresses, cancellations and discount codes.

Converia supports the entire registration and booking process for events. Participants can book tickets, select additional options, enter personal details, specify special requirements and complete payment.

The process is designed to accommodate more complex event models involving participant categories, workshops, additional services, group registrations and individual invoicing requirements.

How Does the Booking Process Work for Participants?

The booking process in Converia is divided into clearly structured steps.

Typically, the process includes:

  1. Select a participant category

  2. Select a ticket

  3. Select additional options, such as evening events or workshops

  4. Enter personal details

  5. Specify special requirements, such as meals, shuttle services or newsletters

  6. Review the order summary and complete payment

  7. Receive a confirmation email with an invoice and ticket

This allows participants to complete their registration in a structured way and automatically receive the relevant documents by email.

Can Additional Fields Be Included in the Registration Form?

Yes. Converia allows additional fields to be included in the registration form.

These fields can be configured as required or optional.

Examples include:

  • Dietary preferences, such as vegetarian or vegan

  • Shuttle service requirements

  • Newsletter consent

  • Additional event-specific information

This makes it possible to collect information beyond the standard registration details.

Can Participants Specify a Separate Billing Address?

Yes. Participants can enter a different billing address during the final booking step.

This is particularly useful when invoices need to be sent to someone other than the participant, for example:

  • Central accounting department

  • Employer

  • Organisational unit

  • Institution with a cost centre

  • Administration department with a consolidated invoicing process

A separate billing address therefore supports structured invoicing and accounting processes.

Can Participants Reuse Their Login for Recurring Events?

Yes. In Converia, each person has a unique identity across the entire system.

For subsequent events, personal details can be pre-filled automatically. This makes registering again easier and reduces the need to enter the same information repeatedly.

A person can have several roles in Converia at the same time, for example:

  • Participant

  • Speaker

  • Reviewer

  • Presenter

  • Committee member

These roles can all be managed through a single account.

Are Group Registrations and Approval Workflows Supported?

Yes. Converia supports group registrations and approval workflows for registrations.

Free registrations can also be managed through an invitation management system. This includes:

  • Invitations

  • Acceptances

  • Declines

  • Free registration for invited individuals

This is suitable for VIPs, speakers, invited guests or internal groups, for example.

Can Cancellation Deadlines With Tiered Fees Be Configured?

Yes. Converia allows you to configure any number of cancellation deadlines with tiered fees.

One possible model is:

  • Free cancellation up to 100 days before the event

  • Tiered fees for later cancellations

  • Automatic application of the configured rules

Manual exceptions are also possible, for example in cases of illness. Such exceptions can be approved without changing the general cancellation rules.

Does Converia Support Discount Codes and Vouchers?

Yes. Converia supports different types of discount codes and vouchers.

These include:

  • Personalised codes that can be used once per person

  • Generic codes with usage limits

  • Hidden pricing groups for VIPs

  • Direct links for invited individuals

This makes it possible to flexibly manage special conditions, invitations, quotas and target-group-specific pricing.
