Check-in, Badges & On-site Workflow

Learn how Converia supports on-site check-in, QR code scanning, badge printing, self-service stations and attendance tracking.

Converia supports organisers with on-site admission, badge printing and attendance tracking. The software can handle simple check-ins as well as daily attendance tracking, check-in and check-out, or room-specific admission for individual sessions.

How Does On-site Admission Work With Converia for Large Events?

Participants arrive at the event with the QR code from their registration confirmation. On site, organisers can scan the QR code using the mobile check-in app.

The check-in app immediately displays the participant's status. If all requirements are met, the participant can be checked in.

For larger events, additional on-site processes can be used, such as:

  • Self-service terminals

  • Automatic badge printing

  • Check-in counters

  • Mobile devices for the event team

This allows organisers to manage different admission scenarios, from traditional check-in counters to more automated check-in processes.

Which Badge Options Does Converia Offer?

Converia supports various options for name badges:

  • Print-at-home badges as PDFs provided with the ticket

  • Pre-event badge printing using mail merge

  • On-site badge printing at a counter or self-service station

Badge designs can be customised for each event. Different types of personal information can be printed on the badge, such as name, organisation or QR code.

Participant groups can also be distinguished by colour. Examples include:

  • Blue for participants

  • Green for speakers

  • Yellow for conference staff

Which Check-in Modes Are Supported?

Converia supports four check-in modes:

  • Simple check-in: Records a timestamp upon admission

  • Check-in and check-out: Records entry and exit times

  • Daily check-in: Records attendance for each event day

  • Room-specific admission: Records attendance for each room or session, including time tracking

Room-specific admission is particularly suitable for events where proof of attendance is required, such as continuing medical education events offering CME credits.

Does Converia Supply Hardware for Check-in and Badge Printing?

No. Converia is a software provider.

The software can be used on various devices, including:

  • Laptops

  • Tablets

  • Mobile devices with a browser

  • Specialised self-service stations

The check-in app runs on mobile devices with a browser. For hardware such as self-service kiosks, printers or scanners, Converia works with local specialists and provides assistance with selection and setup.

Where Can I Get Badge Paper?

Converia supports various badge formats for pre-event printing and on-site use.

The badges are double-sided printable Butterfly Badges measuring 97 × 86 mm.

They can be customised with individual content, such as:

  • Name

  • Company

  • QR code

  • Colour coding

Different types of blank badge sheets are available for printing:

  • Sheets containing a single badge

  • Sheets containing three badges per A4 page

The blank sheets have pre-punched holes for lanyards or clips and can be ordered directly from Converia.
