Payment & Billing

Learn which payment and billing options Converia supports – from managing payments independently to Converia Pay, e-invoicing, ERP exports and currencies.

Converia supports organisers with payment processing, invoicing and the further accounting of participation fees. Payments can either be managed independently by the organiser or processed through the optional Converia Pay service.

Do I Have to Use Converia Pay?

No. Converia Pay is optional.

Organisers can manage payments independently through their own bank account. In this case, their own bank details are displayed on invoices, and payment reconciliation is carried out manually.

No additional Converia Pay fees apply in this case.

Converia also offers integrations with established credit card providers and PayPal. Alternatively, Converia Pay can handle the entire payment process upon request.

How Does Converia Pay Work?

Converia Pay operates through a payment service provider regulated by the German Federal Financial Supervisory Authority (BaFin).

The funds collected are held in trust. They are protected against insolvency and remain the property of the organiser at all times.

Converia Pay includes:

  • Management of funds held in trust

  • Automatic payment processing

  • Automatic payment reconciliation

  • Automatic refunds in the event of cancellation, handled by the Converia team

  • Monthly payouts of the funds collected

How Much Does Converia Pay Cost?

Converia Pay incurs additional fees on top of the software fee.

The fees are:

  • 2.95% of the transaction amount for bank transfers

  • 3.45% of the transaction amount for credit card and online payments

These fees apply in addition to the regular software fee.

Are Funds Collected Through Converia Pay Secure?

Yes. The funds are held in trust by a BaFin-regulated partner.

This means:

  • The funds are protected against insolvency.

  • The funds remain the property of the organising institution at all times.

  • No new bank account is required.

  • Payouts can be made to existing university bank accounts.

  • Payouts can include payment references such as a cost centre or fund number.

This is particularly relevant for universities, public institutions and organisations with established financial processes.

Does Converia Support E-Invoicing?

Yes. Converia supports electronic invoice formats that are increasingly mandatory for B2B invoicing.

These include:

  • XRechnung

  • ZUGFeRD

  • Peppol

Note: Integration with the Peppol network is available. Availability is scheduled for the second half of 2026.

Does Converia Offer Integrations With DATEV, SAP and Other ERP Systems?

Yes. Converia offers accounting exports and integrations for further processing in ERP and accounting systems.

Supported systems include:

  • DATEV

  • SAP R/3

  • SAP S/4HANA Cloud

  • Other ERP systems

Converia can export accounting data at line-item level. Exports can be provided in various formats:

  • CSV

  • Excel

  • XML

Predefined general ledger accounts, tax rates and order assignments can be taken into account. A direct API integration for SAP S/4HANA Cloud is available through specialised partners.

In Which Currencies Can I Collect Participation Fees?

Converia Pay currently supports the collection of participation fees in euros.

Alternatively, organisers can integrate their own payment service providers, such as PayPal Business. In this case, foreign currencies can also be processed through their own accounts, for example:

  • USD

  • CHF

Support for additional currencies within Converia Pay is planned.
