Pricing Model

Learn how Converia's pricing model works, which fees apply and when individual pricing arrangements or the Flex Model may be suitable.

Converia's pricing model combines a monthly base fee with usage-based fees. This means that billing is based on actual usage, such as participant registrations and academic submissions.

How Is Converia's Pricing Model Structured?

Converia's pricing consists of:

  • A small monthly base fee

  • A fee of 2.5% of participation fees

  • A maximum of €15.00 per participation fee

  • Approx. €3.95 per abstract submission

The monthly base fee covers hosting, operation and data storage.

There are:

  • No minimum revenue requirements

  • No separate contract for each event

  • No per-user licence fees

  • No seat-based licensing

An unlimited number of internal users can work with Converia. Billing is not based on the number of internal users.

Does Converia Offer Volume Discounts for Large Events?

Yes. Individual pricing arrangements can be agreed for larger events or particularly extensive usage.

This may be relevant for:

  • Large numbers of participants

  • High submission volumes

  • High ticket prices

  • Large congresses

  • Multiple large-scale events

In such cases, the most suitable pricing arrangement for the event can be assessed.

Why Is Converia's Pricing Model Percentage-Based Rather Than Fixed?

The percentage-based model scales with actual usage.

With fewer participants, organisers pay less. This eliminates the financial risk of a high fixed fee if actual demand is lower than expected.

Converia can typically save 30 to 40 minutes of manual work per registration. The fee therefore reflects the organisational effort that would otherwise be required without the software.

Is There a Pricing Model for Multiple Events Running in Parallel Each Year?

Yes. Converia offers a Flex Model for organisations running three or more events per year.

Under this model, a single base fee can cover several events simultaneously. This is particularly suitable for organisations that regularly hold events or organise multiple formats in parallel.

Typical use cases include:

  • Universities with multiple conferences and workshops

  • Associations with recurring events

  • Institutions with decentralised event organisation

  • Organisations with several event formats running in parallel each year
